Automatic Passive Income Prospecting

Most prospecting in real estate is active. You pick up the phone, you knock on a door, you send an email newsletter. You put in effort, and hopefully something comes back.

But there's another type of prospecting. One that runs in the background while you're busy with clients. Changes you make once that quietly keep attracting seller attention long after you've moved on to the next task.

I call this passive income prospecting.

It won't replace active outreach. Nothing will. But the best real estate businesses I've seen are built on both. You're always doing some active work - but underneath that, a whole layer of infrastructure is working on your behalf.

This guide covers the key changes worth making. Some take an afternoon to set up. Others are a one-off cost. All of them have the potential to pay off for years.

And from personal experience, I can attest that these systemic changes work.


Why passive prospecting matters

Think about where your listings have come from over the last two years. A few will be from active prospecting - calls, door knocks, follow-up campaigns. But most will come from something less direct. Someone remembered you. Someone passed on your name. Someone saw you around and thought to call.

That's passive prospecting at work. The question is how deliberately you're building it.

Every tweak you make to how you show up in your market - online, in person, through your marketing - either adds to that profile or subtracts from it. The goal of this guide is to help you add to it, consistently and efficiently.


The foundational moves

These are the changes with the best long-term return. Start here.

1. Get your car sign-written

This is still one of the most cost-effective things you can do. You pay once, and your car works as a moving billboard every time you drive to a listing, an open home, or the supermarket. Done well - full wrap, professional design, decent car - it adds real presence to your local market profile.

Some salespeople worry it'll put off potential sellers who don't want the neighbours knowing they're thinking of selling. In my experience, that's not how it plays out. You can always park discreetly when doing an appraisal.

2. Add a lead magnet and CTA to your email signature

Every email you send is a marketing opportunity. Most salespeople waste it with a generic sign-off.

A simple CTA in your signature - something like "Thinking of selling? Get a free copy of our 41-Step Preparing for Sale Checklist" - puts a relevant offer in front of every person you communicate with. Buyers, builders, property managers, solicitors. Anyone who opens your email becomes a potential lead or referrer.

3. Set up and optimise your Google Business profile

When a homeowner is thinking about selling, one of the first things they do is search for a local agent online. If your Google Business profile is set up properly - with a professional photo, accurate details, your service area, and a solid bank of reviews - you have a real chance of showing up in those local search results without spending a cent on ads.

The top three results in a local Google search get the vast majority of clicks. Most agents either haven't set this up at all, or have a bare-bones listing with no reviews and no description. That's an easy gap to close.

One key step that agents often skip: ask your past clients for Google reviews. The more reviews you have, the more likely you are to appear in the top three.

Once your profile is live, you can share a direct review link with every client you work with.

4. Add a consistent CTA to everything you print, send, or post

Your letterbox drops, your property marketing, your social media posts - all of it should carry a consistent call to action. The message can be simple: a free checklist, a free selling quote, an invitation to get in touch for a no-obligation appraisal.

Most salespeople are inconsistent here. They add a CTA to some things and forget it on others. The fix is to make it a non-negotiable part of every piece of content that leaves your hands.

The more consistently you do this, the more your name becomes associated with a specific offer. That familiarity builds trust over time.

5. Add all open home visitors to your email newsletter

Every person who walks through your open homes is a potential future seller. Most salespeople follow up with a phone call - which is good - but fewer add those contacts to a long-term communication channel.

Your newsletter keeps you in front of those people for months or years after the open home. When they're ready to sell, you're already familiar. The call comes to you, not your competitor.

Make it a non-negotiable part of your open home process. Capture the email address on your sign-in sheet, and add it to your database first thing Monday morning.
